Agenda for October 30, 2024

Tierra Encantada BOG Meeting

The Meeting was called to order by Boyd Bass at 10:00 A.M. Participating were Boyd Bass, Property Managers Jimmy and Patty Brown attending via zoom Tom Whiteman and Marybele Suczek.

Minutes:

• The Minutes of July 30, 2024, Board Meeting were digitally approved by the Board, distributed to owners, and posted on the website.

Financial:

• The July, August and September Financial reports were digitally approved by the Board, distributed to owners, and posted on the website.

Manager’s Report / Maintenance Log Review:

• Reviewed Maintenance Items: Management reviews log entries that have been completed since the last BOG meeting as well as the status of pending items. OWNERS ARE REMINDED: If you have a maintenance, housekeeping, or any other

property concern (including any leaks to inside units), please send Patty (tehoa761@gmail.com) an email and copy the board. (bcb3@earthlink.net; twhiteman@msn.com; art@arendonlaw.com. Items on the maintenance log are worked by Property Management and reviewed by the board every month.

 Completed: AT&T lines have been resolved. Management made a request to disconnect main line (office) and keep domestic line (elevator) Request was made October 1, 2024 Savings of $258.50 per month. Spectrum services for the office have also been cancelled Savings $143.65 per month.  To be completed: window washing/treatment.

Capital and Major Maintenance (CAMM) Reserve Review

2024 Projects:

• Leak Mitigation – Simon Solorio continues to document TE leaks as they are reported to him. Leaks have not been addressed. Pending

• 2024 Spalling Repairs –Spalling work is anticipated to end by November8,2024. Boyd Bass, James Thompson and property manager Jimmy Brown will be scheduling a final walk through with Simon.

Other Old Business:

• Storage Room Rental Agreement: Review storage rental agreement, owners

currently renting a storage unit will have to provide a written statement stating that

there are no flammable or hazardous materials in storage. A new contract will be issued effective January 2025. Pending

New Business:

• Windstorm Insurance: TE windstorm insurance is pending approval by the board.

renewed for the period of 11/01/2024 – 11/01/2025; declaration pages will be posted to the TE Website as soon as they are received. Per our agent, TIV (Total Insured value) has not been updated in 3 plus years, the quote is subject to inspection including updated replacement cost estimate to be ordered by the company. The property policy does include 90% coinsurance, limits need to be within 90%replacement cost. The board will assess if any adjustments need to be made with the insurance already being billed to owners. Insurance assessment invoices were sent to owners July 1st for $2,300 and cover the estimated cost of all TE insurance. We have been notified that we will have an additional charge after evaluation. Owner’s are to expect an invoice for the difference in November 2024.

Tom Whiteman made a motion to add insurance to the monthly HOA fee effective January 1, 2025, Boyd Bass seconded motion. Motion passed.

• First National Bank: Tierra Encantada authorized signatures on the operating account will be, Patty Brown, manager. Boyd Bass, Tom Whiteman and Art Rendon as board members. On the reserve account the signatures will be Boyd Bass, Tom Whiteman and Art Rendon as board members. Removal of Deb Gale and any others who may be on such accounts.”

• Spalling Work: Jim Thompson to provide update

• Trespassing: We are having issues with relatives of owners using facilities without permission and owners are not onsite or are aware of the visit. We will be keeping a log on trespassing and will also be looking into the possibility of a fence by Las Brisas.

• Budget: Timeline for budget review before April’s annual meeting. The board will meet December 12th at 10:00 a.m. to review and approve
